This Privacy Policy describes how Trela, a Discord bot application, processes information when it is installed in a Discord server. Trela is operated by its developer/operator (“we”, “us”). Discord servers that add Trela are operated by their own administrators (“server staff”), who control most moderation and configuration settings.
1. Scope
This policy applies to data processed by Trela through the Discord API. It does not replace Discord’s own Privacy Policy or a Discord server’s rules. If you use Discord, you are also subject to Discord’s Privacy Policy.
2. Information We Process
Depending on which features a server enables, the bot may store and process the following categories of data in a local SQLite database on the machine hosting the bot:
- Discord identifiers: user IDs, role IDs, channel IDs, guild (server) IDs, message IDs.
- Profile information from Discord: usernames, display names, avatars, account creation dates (for join screening and alt detection), and role membership.
- Age verification data: dates of birth submitted through ticket-hub flows, evidence descriptions, verification status, assigned age roles, and related staff confirmations.
- Moderation records: warnings, mutes, kicks, bans, mod cases, mod notes, appeal tokens, confirmation actions, and enforcement outcomes.
- Ticket and transcript data: support, report, verify, and appeal ticket metadata; message content and attachments referenced in transcripts; ticket open/close events.
- Security and anti-abuse data: anti-nuke heat, prison/saved-role snapshots, join-gate screening results, invite usage tracking, mass-join alerts, high-risk action confirmations, raid mode state, and username blacklist matches.
- Staff and community features: staff on-duty status, staff vouches, scheduled announcements, ping tracking, XP/level progress, giveaway entries, permission-loan offers, and server configuration snapshots.
- Content monitoring (when enabled): matched message text for age-disclosure detection, spam/automation triggers, advertisement monitoring, and 18+ browse session metadata from age-restricted channels only (tags searched, saved items, session state).
- Operational logs: timestamps, action reasons, staff user IDs who resolved confirmations, and technical error logs on the host system.
3. How We Use Information
Data is used only to provide bot functionality requested by server administrators, including:
- Assigning and maintaining age-based roles and birthday upgrades
- Opening, managing, and logging tickets and appeals
- Enforcing server rules, anti-raid/anti-nuke protections, and staff workflows
- Sending DMs or channel messages configured by server staff (warnings, welcome messages, reminders, announcements)
- Generating staff confirmations in configured confirmation channels
- Detecting policy violations such as under-age verification, age mismatches, or suspicious joins
4. Legal Bases & Server Responsibility
For most processing, server administrators decide whether to enable features and are responsible for informing their members and complying with applicable law. Sensitive data such as dates of birth should only be collected where server staff have a lawful basis to do so and have posted appropriate server rules.
5. Data Sharing
- Discord: The bot communicates through Discord’s API to display messages, assign roles, and perform moderation actions.
- Server staff: Data may be visible to authorized moderators and administrators in logs, tickets, confirmation channels, panels, and transcripts.
- Third-party APIs (optional 18+ features): When enabled, Trela’s 18+ browsing helpers may only be used in age-restricted channels and may query external image-board APIs using search terms you provide. Those requests are subject to the third party’s policies.
- We do not sell personal information.
6. Data Retention
Retention depends on server configuration and ongoing moderation needs. Records may remain until deleted by server staff, until a ticket/transcript is purged, until warnings expire, until appeals are resolved, or until the bot is removed from a server. Ban schedules, age records, and imprisonment snapshots may persist until manually cleared or automatically expired by configured bot logic.
7. Data Location & Security
Data is stored locally in roles_handler.db on the system running the bot instance, not in a centralized multi-tenant cloud operated by us unless the operator chooses to host it that way. Security depends on how the operator secures that host, file permissions, backups, and access controls.
8. Your Rights & Requests
Because the bot is used inside individual Discord communities, requests to access, correct, or delete your data should usually be sent to the server administrators where you interact with the bot. You may also contact the bot operator using the contact method listed on the Discord application page or below.
We will assist server staff, where reasonably possible, with export or deletion of records stored by a given bot instance.
9. Children & Age-Related Processing
The bot is designed for use in Discord communities that may restrict membership by age. It can process dates of birth, flag under-age users, restrict roles, place members in a prison role, and support staff ban decisions. Servers must not use the bot to unlawfully collect or process children’s data.
10. International Users
Discord and the bot operator may process data in countries where servers or infrastructure are located. By using servers that run this bot, you understand data may be transferred internationally.
11. Changes to This Policy
We may update this policy as features change. The “Last updated” date at the top will be revised when changes are posted.
